  • 03-30-2013: Endorsing Campaigns

    Hey everyone!

     I can't believe it's already elections season! Only a few days in and the list of candidates is already quite long and many of the names may be your friends or coworkers in the AS. In an effort to save the Elections Board from having to hear a grievance, everyone please read the following endorsement section of the AS Elections Code. This section clarifies what an AS employee and otherwise affiliated persons can and can't do in their capacity as an AS affiliate.

    III. Endorsements
    a. AS offices, officially recognized AS programs, and AS councils and committees (standing or ad-hoc) may not endorse candidates or measures, and may not organize events, spend money, or use any AS resources for or on behalf of a candidate or measure. The logos of AS offices, officially recognized AS programs, and AS councils and committees (standing or ad-hoc) may not be used on any campaign materials.

    b. Current AS employees, including AS Board Members, may, as individuals, endorse candidates or initiatives, though they may not identify themselves as AS employees, identify their position within the AS, or speak on behalf of the AS when doing so, with the exception of AS Board Members in their official capacity on a referendum campaign, though they may not speak on the behalf of the AS when doing so.

    c. AS employees, including AS Board Members, may not endorse a candidate or measure in AS publications, AS public forums or while acting in their official capacity (e.g. during committee meetings, Board meetings etc.), with the exception of AS Board Members in their official capacity on a referendum campaign for which they are the official sponsor(s).

    d. AS employees, including AS Board Members, may, as individuals, work on a campaign for or against a candidate or a measure. AS Board Members may work in their official capacity on a referendum campaign for which they are the official sponsor(s).

    e. AS clubs may officially endorse candidates or measures of their choice starting on the first day following the Mandatory Candidate Meeting [4/12/2012]. AS clubs may not organize events, spend money or use any AS resources for or on behalf of a candidate or measure.

    f. Candidates or measures may not be publicly endorsed at an AS sponsored event. Candidates may speak at AS sponsored events for campaigning purposes if, and only if, all candidates for their position have been offered the option of speaking for equal time, at least three (3) days in advance. This Code only requires that the opportunity be offered. The candidate may still speak if their opponents decline. For the purposes of this Code, club Meetings do not constitute AS sponsored events.

    Thanks for reading! Let's have a fun, grievance-free election!

  • 10-15-2012: Club Package Deals open up at 2pm today! - 20 freebie slots for using the AS Publicity Center

    Those of you who were present for the Club Kickoff on October 5th got this announcement then, but here's a somewhat quiet reminder that in about half an hour the Request for Club Package Deals through the PC will open up on the forms website of the AS Club Activities Office.  There are 20 slots for free (really paid for by Activities Council) promo packages by the Publicity Center.

    Then in winter, there will be 20 more, then in spring, 10 more.

  • 09-24-2012: Welcome Back AS Clubs! (check out this fresh news)

    As you know, Red Square Info Fair starts TODAY! It is on the 24th and 25th 11am-3pm. See you out there!

    AS Club Kickoff is on Friday, Oct. 5th (one night only) 4 – 7pm in AW 204 with pizza at the end. It is mandatory for every club to have at least one rep there, but we welcome 2 or 3 members if you want to bring more than one. There are a ton of new updates, streamlined processes, better forms, and even tutorial videos.

    Learn to ASERT your events!! There is a new (and awesome) event planning form that helps guide you through all the steps of planning an event (large or small) and at the same time informs the proper campus event approvers of what you're up to and what you need. It's the ASERT (Associated Students Event RequesT) and it is required to get approval for all club events, which is anything more substantial than regular club meetings or info tabling. Got an event coming up? Jump on the form now if you like: http://wwu.orgsync.com/Forms

    New Room Reservation Rule (lot of r's): Only the top 3 leaders listed on your club's OrgSync profile (the form you use to renew the club's active status, Admins control this in 'settings') will be authorized to make reservations for the club. The top 3 are the President/Coordinator, VP/Asst. Coord., and the Budget Authority (or whomever you list in those top 3 blanks).

    We're taking apps for 3 ways to get involved in the Club Hub:
    1. Activities Council (volunteer committee, grants funding to clubs, votes on new clubs): http://as.wwu.edu/committees/activities-council/
    2. Club PROs (Peer Resource Officers, also volunteer, ~3 hrs/wk helping to make the club experience better for all) - called "interns" last year, but we upgraded the name. Apply at: https://orgsync.com/22434/forms/58247/submission
    3. Club Support Specialist (hiring 2 PAID positions) - helping to staff the Club Hub and assist clubs with all that they do. Check the student employment listings on the Western site within the next few days for the posting.

    Last Day to Renew Your Club for This Year: Friday, Oct. 19th!  Most clubs have already done this (yay!), but if you haven't, here is a tipsheet on getting it done right: https://orgsync.com/22434/files/237287/download

  • 03-05-2012: Volunteer Opportunity: Western Preview!

    Hello Associated Students club members!

    I am a fellow alumnus of Western and previous club leader in the Associated Students. I hope you are having a terrific year with many inspiring meetings, fun times, and great club participation. If you put on events, I know how tough that can be, so thanks for volunteering your time to help involve and educate students. If you have club meetings, I hope you are having some consistent followers and emerging leaders that can carry on your legacy for years to come.

    As volunteers in one way or another, I know that you all value getting involved and learning about various opportunities. I also know that as our student leaders on this campus, you know a lot more about Western and are passionate about this school too. Would you like to share your experiences, passions, and knowledge with students who might be coming to Western? Would you like to connect with the future leaders, your future classmates, and future change-makers at this university before they even enroll?

    If so, you would want to know about one of the biggest events on Western’s campus! Western Preview is a chance to connect with high school students who have been admitted to Western and are deciding whether WWU is the right place for them. Over 3,000 students and their families will be attending and we need 300 volunteers to make them feel welcome here. As a volunteer, you get to share your passion for WWU, and also get free meals and a t-shirt. From my experience, volunteering for Western Preview has been a huge benefit to me personally and my club’s involvement. I have been able to connect with future leaders of various clubs and engage with new people to help them get to where they want to be.

    INFORMATION:
    What: Western Preview
    Who: All Western students are encouraged to volunteer!
    When: March 31st (first Saturday of Spring Quarter)
    Why: To share our amazing school with admitted students and help them fall in love with WWU again!
    How: Fill out this survey https://www.surveymonkey.com/s/AdmitVolunteer to register as a volunteer and come to a volunteer training session (pick one) either March 28th or March 29th

    Questions or comments? Please don’t hesitate to email or call me at 360-650-7946. I am excited to meet and volunteer alongside all you amazing leaders! If you need any accommodations or access information, let me know!

  • 02-08-2012: Club Hub Internship Position Available!

    Hey Everyone!

    We are looking for 1-2 Club Hub Interns to join our Club Hub Task Force. The Club Hub Task Force is comprised of interns whose purpose is to complete projects and develop resources as assigned and reviewed by the Club Coordinator. These projects include, but not limited to, peer-club mentoring program, club orientations, club resources, publicity and marketing, social events/event programming, Orgsync improvements, the Club Hub physical space, and workshops for club leaders. This is an unpaid position.

    If you are interested, please fill out the form here: https://orgsync.com/22434/forms/show/44608

    Read the expectations below and email me at as.clubs@wwu.edu with questions or if you would like to learn more about the projects. If you are interested, please let us know by the end of the week and tell your club members too!

    Expectations:

    • Attendance at a weekly meeting is mandatory unless cleared by the Club Coordinator. This time will be used for brainstorming and checking in. These meetings will be an hour or less.
    • Club Hub Interns are required to record their hours and what projects they were working on every week through Orgsync on their time sheet. Interns should not let more than a week pass without recording hours.
    • Club Hub interns do not have a required amount of hours to complete. However, interns will be periodically reviewed by the Club Coordinator to see if the Task Force continues to be a good fit for the time they can commit.
    • Interns are expected to show initiative and thoroughness in completing projects and assignments. When an intern agrees to take on a project, the project will be completed in a timely manner.
    • Club Hub Interns will be good representatives of the AS Club Activities Office. Interns will be polite, friendly, and helpful when speaking to customers (club members, officers, employees, and staff).
    • This is the first time a task force or a volunteer staff has been attempted in the AS Club Activities Office. Therefore, interns should be flexible, patient, and willing to work in a changing environment.
    • Interns report to the AS Club Coordinator with questions, suggestions, and ideas. The Club Coordinator is responsible for overseeing and approving projects and assignments.
    • The program will be assessed at the end of every quarter and interns will decide if they would like to continue for another quarter

    Thanks everyone!

  • 02-06-2012: Club Closet Clean Up!

    Feb 9th, from noon to 5 in VU 425, Casey Hayden and myself will be taking on the long overdue task of cleaning out the club closet and reorganizing it. We will also be cleaning out things from inactive clubs or anything that is unlabeled, as well as clearing shelf space for other clubs.

    If you have anything unlabeled, please plan on stopping by, email me, or take the time this week to label it. It's hard for us to tell what belongs to what club so please do this or it might get thrown out!

    Please email me if you would like space but do not have any space currently and I will see what I can do!

    Also, if anyone wants to help out, the more the merrier!

  • 01-12-2012: Viking Lobby Day! Important!

    Greetings fellow students,

    On January 15th-16th, 2012, WWU students have the opportunity to participate in the 2012 Viking Lobby Day. Viking Lobby Day allows students to share their experiences and passions, as well as the Associated Students Legislative Agenda. We are experiencing unprecedented deleterious cuts to our educational opportunities and must show legislators the impact access and quality of education at WWU. This experience will empower your voice and help you gain the knowledge and skills necessary to take on the challenges presented to our generation and shape the future of our state.

    Travel to Olympia and lodging is paid for. Students will be trained to lobby and given information to feel comfortable while meeting with legislators. You do not need any experience, just a positive attitude.

    We will be leaving in the afternoon on Sunday at 2PM from the Viking Union, and returning to Bellingham Monday evening. Monday the 16th is a holiday, therefore there is no worry that you will miss any class. If you have any more questions please email Iris Maute-Gibson at asvp.gov@wwu.edu

    Below is the link to the lobby day form. Please fill out the form ASAP so we can ensure you get meetings with your elected representative. Secondly, I am also looking for group leaders for lobby day, if this interests you, please let me know. I really hope that all of you fill out the form and are able to attend Lobby Day. Feel free to send this link and email to as many students as you would like! Thank you in advance for joining me in the fight for higher education!

  • 01-10-2012: Orgsync Tip of the Week: Get your members on Orgsync!

    Hey AS Clubs! Here in the AS Club Activities Office, we are starting off a Orgsync tip of the week to answer some questions I know people have been having. We will also be giving tips about using club resources in general and a club spotlight section, so stay turned!

    Now that your club is renewed and registered on orgsync, how do you get your members online? While introducing a new system is daunting and difficult at first, there are ways to make the transition as smooth as possible and increase membership at the same time.

    Use your mailing list:

    Don’t wait for members to find you. Send them a personalized message by going to “People” on the side tab and clicking “Invite Members” up at the top. There, you can enter your mailing list at the bottom. Make sure to send them a personal message so they know it’s important to join and not simply a scam website. You can also use the link above and post it on your facebook or twitter. After you have sent your initial message, you can go back to this page at any time and resend the invitation every three days.

    Take 10 minutes at your next meeting:

    The easiest way to get your members on orgsync is to take 10 minutes at your next meeting to walk them through step by step. Show them how to create a user profile, how to log in, and then how to join your club. Running through the different tools orgsync has to offer is also an effective way to get your members excited and show them the value of the program! It will feel less daunting if they are shown step by step what to do instead of assuming they can figure it out on their own.

    Keep your profile active:

    Now when students are scrolling through the AS club webpage, they will be directed to your orgsync profile which allows them to be more proactive in getting involved in a club. Make sure your club profile is active and up to date, even if you don’t use the tools often. I’ve spoken with students who have joined a club on orgsync but since there was no meeting event created or listed, they didn’t end up joining the club. Also, make sure to make your profile appealing and friendly! Add pictures, videos, a welcome message, etc so when students are browsing clubs, yours is the one that catches their eye.

    Integrate orgsync into your recruitment strategies:

    Next time your club is tabling and advertising, add your orgsync link to your fliers, handbills, and posters. You can even check out a laptop and have interested members sign up at your table. It is a more active way of attaining new members instead of just handing them a handbill and hoping that they email you back.

    Ask for another orientation:

    It was a lot of information to handle in the first round. If you are confused by anything in orgsync, would like a more comprehensive look at a certain tool, or schedule an orientation for your club, contact me at as.clubs@wwu.edu and I would be happy to schedule another meeting.

    What things have you done to get your members online?

  • 01-04-2012: AS Campus Activities Showcase, Sign Up Now!

    Hey AS Clubs!

    Welcome back to school! Here in the AS Club Activities Office, we are starting the year off right with the Campus Activities Showcase! (which is our indoor, sheltered-from-the-cold-and-rain version of the Red Square Info Fair). This is your opportunity to show off your stuff for our Western Community and recruit some new active members for your club! Plus win cash prizes for your club! So get pumped! Check out the information below!

    Event: Campus Activities Showcase 2012

    Purpose: To bring together all the clubs and organizations on campus that offer ways for students to get involved, and create a fun atmosphere where students will come and check out all that is available to them, and hopefully decide to join, or get involved in some way. Research shows that students who are involved on campus have more success than those who aren’t. So, we want to make sure that students are aware of all the amazing groups that are out there for them.

    When: Wednesday, January 25th from 11:00am-2:00pm

    Where: Viking Union MPR (Multipurpose Room, VU 605)

    Who: “You!”, plus about a hundred other campus groups from all around!

    How can you get involved!!

    - Performances! – Any group that can showcase, perform, or demonstrate is encouraged to sign up! You’ve got 10 minutes up on stage to show everyone what you are all about! We’ve seen dancing, martial arts, cultural celebration, comedy, musical numbers, and sharing of passions for community service and various causes. If you have questions or wonder whether your performance will work, email me!

    - Man a booth! Make your booth stand out with interactive games, swag, and your smiling faces, ex: video games, table-top games, science demos, prizes, and more. The more creative, the better! Check out Orgsync in the weeks leading up to the event for tips on making your booth stand out or stop by VU 425 if you want to brainstorm ideas!

    - FREE $$$$ for your Group! – Your display could win cash for your organization. Last year only one group could win, but this year, we are offering multiple cash prizes! Group(s) with the best display will get some extra funds transferred into their account as prize money. Displays will be judged on: Interactivity, Overall Creativity, Enthusiasm, and Clarity of Message.

    How to Sign Up!

    Sign up by logging into Orgsync and heading to our Community homepage and clicking Campus Activities Showcase. Fill out the form and register your club. If you mark that you would like a performance time, I will be contacting you all soon!

    TABLE SPACE WILL GO FAST! Sign up now if you want a spot! Sign-ups will be taken until space is gone, probably only about a week or 2 from now!

    Get ready for Winter 2012! It's going to be awesome! As always, you can email us at as.clubs@wwu.edu with questions!

  • 11-02-2011: Woohoo! We just hit 1000 active users on OrgSync!

    In just a little over 3 weeks after the initial launch of OrgSync at AS Club Kickoff, which put about 150 club leaders into the system, we are now at the 1,000 user mark!  The participation has been a steadily increasing phenomenon of organic growth, and it has been fun to witness.  I know there are at least 2,000 students involved in AS Clubs, so let's keep seeing that steady (and AWESOME) growth!  (hint: invite members).

    take care,

    Casey Hayden

  • 10-20-2011: Update Your Information!

    Hey AS Clubs!

    Remember to update your profile information with the names of 5 current WWU students in your club, your club information, and club constitution! Email me at AS.Clubs@wwu.edu if you need a copy of your constitution. It's very important that you have this information on file.

    Also we have our top 3 largest clubs and top 3 most involved clubs on campus at the moment. Congrats to Foulplay: A Murder Mystery Club, Bad WWUlf, and Humans Vs Zombies for being our largest clubs on orgsync and SWEA, WWU ACT, and Zombie Defense League for being our most involved clubs. Keep up the good work!

  • 10-18-2011: WWU Center for Service Learning is a GREAT Connection for AS Clubs

    Hi AS Club Leaders,

    At the AS Club Kick Off event my co-worker, Beth Parker, and I made an announcement about the services the Center for Service-Learning can provide to clubs and passed around a sign-up sheet for interested clubs. Unfortunately, the sign-up sheet was lost [full disclosure: It is MY fault the sheet was lost, not that of the CSL staff. ~ Casey Hayden] so we are emailing everyone. If you would like to receive updates about upcoming service opportunities and events, please respond to Arcadia's email listed below so our office can stay in touch with you.

    The Center for Service-Learning connects students with the Whatcom community by organizing service events and helping students find volunteer opportunities that match their interests and schedules. We can work with clubs to:
    - help members find volunteer opportunities related to your club’s mission
    - assist your club in connecting with a community organization for a club service opportunity
    - partner with your club on a service event advertised to all WWU students to promote work important to your club
    - provide resources for group and individual reflection
    - connect members with Students in Service, a part-time AmeriCorps program that rewards students who do community service with scholarship money

    Whether you are focused on the environment, sustainability, agriculture/gardening, children and education, homelessness, social/political issues, ethnic minorities, health, immigrant populations, or other issues, we can help you find a way to work with these issues in the community.

    Please let us know if you would like more information about the Leaders in Service-Workshop on Friday, November 4, 3:00-6:00, the downtown nonprofit tour and service project planning session that Beth talked about. It is designed for any students interested in taking a leadership role in community engagement, or anyone who wants to learn more about the Bellingham nonprofit scene.

    I would love to make a 3-5 minute announcement at an upcoming club meeting about service opportunities related to your club’s focus! Please contact me if you would like to learn more, or if you have any additional questions or ideas.

  • 10-13-2011: Western Fall Welcome and Erotic Poetry Night!

    Hey AS Clubs! Below are two great opportunities for your club to get involved on campus. Please forward these to your club members!

    ~~~~~~
    The Office of Admissions would like to invite you to participate in Western Fall Welcome (WFW), our largest campus visit program in the Fall, which caters to hundreds of prospective students and their families interested in Western’s academic programs and campus life.
    We would love for your participation in the Campus Fair on Saturday, October 22nd from 12:00pm to 2:30pm in the Viking Union, Multi-Purpose Room. Please consider sharing information about your club by hosting a table! We are looking for 1-2 representatives who can staff the table and talk with prospective students.
    Thank you,
    ~~~~~

    Hello!

    My name is Taneum Bambrick and I work for the Women's Center. The Sexual Awareness Center and the WC have recently partnered to put on the event: EROTIC Poetry Night: An Evening of Climactic Expression. This event is being built around club participation. This event will be held on club night (Thursday October 27th) in the Underground Coffeehouse.

    Our goal is essentially to create a healthy outlet for sexual expression. Women, and many other groups, are stereotypically not "sex positive," in other words, are not encouraged to discuss and engage in sex acts that would be empowering. We feel that expression in this area, spoken by people of all identities, will create a situation where sexuality itself is a healthy aspect of life for those who would like it to be.

    Please invite your club members to attend this event. If you have any outspoken souls who would like to submit a poem/story beforehand and then read it at the event, that is what we are going for by sending you this email. Please submit any poetry to ASLabyrinth@wwu.edu. This is your invitation, please come and enjoy an evening focused on love and equality with us.

  • 10-09-2011: Wow!! AS Clubs Line-up to use the AS Publicity Center!

    In less than 72 hours from the first mention of the new "Club Package Deals" available from the PC and paid for by the Activities Council, we've gotten over 60 submissions/requests!!  This really shows that when the process for using the PC is streamlined, clubs really do want to use that quality service.

    Clearly, this will cause a bit of a stir for the PC, and the Account Executives will need to look over all these submissions to see if they are all do-able and if the deadlines requested can really be accommodated.  No one was expecting this huge response.

    All of last year, only 40 club jobs were processed in the PC (over a 9 month period!), and now 60 have been submitted in a few days!  Aaaiiyaiyai!  I'm glad you're all excited about the resource and about OrgSync.  Stay tuned for updates on how this Club Package Deal "traffic jam" will be dealt with.

    Casey H.
