Resources for Clubs

Advising

Casey Hayden, the Student Activities Advisor, and the AS Club Coordinator are the primary support staff for most AS clubs and are available to help your group with such things as program planning, understanding AS policies, procedures, and resources, and other organizational issues (You can contact Casey in VU 431, at 360-650-2489, or at Casey.Hayden@wwu.edu or the Club Coordinator at as.clubs@wwu.edu). Appointments can be scheduled by going to the VU 5th floor reception desk or calling 360-650-3450.

Nate Panelo is the advisor for Ethnic Student Center clubs, and can be reached at 650-7271, VU 420J, nate.panelo@wwu.edu.

If you are planning a major event, please make an appointment with an advisor in the initial stages of your planning.


Workspace & Reservations


Room, Banner, and Kiosk Reservations
Clubs can reserve rooms in the Viking Union or other campus facilities for meetings or events. There generally is no charge for the use of rooms, unless set-up, technical support, cleaning, or security costs are incurred. You can also reserve banner and kiosk space. Reservations can be made online at http://www.wwu.edu/reservations/. If you have any questions, contact Margaret Gegenhuber, the VU Reservationist in VU 536 at 650-6131 or Margaret.Gegenhuber@wwu.edu.


Vendor's Row, Red Square & VU Lobby Tabling
AS clubs can reserve tables in vendor's row at no cost for fundraisers, or reserve a table in Red Square or the VU 6th floor lobby to hand out informational materials. You can obtain more information and make your reservations through the VU Reservations Office, VU 536 or online at http://www.wwu.edu/reservations/.


Vehicles
Clubs can reserve AS vehicles for club activities. AS vehicle rates are at http://vu.wwu.edu/feeschedules/vehicles.php. Drivers must go through a vehicle orientation and WA State Basic Driver Safety program.


The Club Hub (a.k.a. AS Club Activities Office)
The Club Hub, Viking Union 425, is a work space available to all AS clubs. It offers file space, work tables, computers, printing, a leadership library, some storage space, and FREE supplies.

You will also find the Club Coordinator and the Assistant Business Director in The Club Hub. They are there to help with any club's needs and are always good for some candy or a good laugh.

The Club Hub is open 8 am-5 pm, Monday-Friday. Access is available after 5 pm and weekends to people on your club registration form-just contact the Building Manager through the Information Desk on the sixth floor of the Viking Union, or the VU 5th Information Coordinator Desk.


Computers/Printer
Two computers are available in The Club Hub, and there is one laser printer.  


Mail and Mailboxes
Basic mail service for both outgoing and incoming mail is provided by the AS at no cost to clubs for official club purposes. In addition, each recognized club may request a mailbox located in Viking Union 547 for incoming mail. All club mailing addresses are as follows: Club/Organization Name, Viking Union Box ______, 516 High Street, WWU, Bellingham, WA 98225-9106. A return address stamp is available in Viking Union 504. If you are doing a mailing of more than 75 pieces, your organization will be charged for the mailing. Visit the VU 5th Floor Information Coordinator Desk for more information about mailings.


Fax Machine
AS clubs have free use of the fax machine in the Publicity Center, VU 411. The number for incoming faxes is 360-650-6507—items received will be put in your mailbox, as long as the club's name is on it.


Copying
AS clubs can use the copy machine on the 5th floor of the Viking Union for making 20 or fewer copies at a time, at a cost of approximately $.06 per copy. You can get your club's access code at the 5th floor VU Information Coordinator Desk. Larger orders should be sent to Copy Services.


Financial


VU Finance Office & AS Business Office
All clubs & organizations, with the exception of religious organizations, must handle all of their financial transactions through the Viking Union Finance Office, and are not permitted to have an outside account at a financial institution. The Finance Office provides a variety of services including issuing Purchase Orders and checks, change funds, deposits of earned funds, monthly budget reports, and more. If you have questions about how to utilize your club account, please contact the AS Assistant Business Director at as.business.asst@wwu.edu.


Program Funding
The AS has funding available for events and activities sponsored by student groups in the form of grants, underwrites, and loans. Complete an Activities Council Funding Request Form, available at http://wwu.orgsync.com/Forms. Promotions & Publicity

  
Publicity Center
Clubs have access to the services provided by the AS Publicity Center (PC) located in Viking Union 411. The PC handles a wide variety of publicity production, printing, & distribution needs - everything from posters, the AS Review, website events calendar, and press releases to bumper stickers and organization logos. And the first 50 clubs to utilize the services of the PC in any given academic year by choosing one of the pre-arranged "club packages" will get that service COMPLETELY FREE! (i.e. paid for centrally by the Club Activities Office, because we like you).  Find out much more about the PC at http://as.wwu.edu/publicity/


KUGS
KUGS can air free Public Service Announcements (PSAs) for your activities and events. DJs will read your announcement over the air. To create your PSA, fill out the on-line PSA form on the KUGS web page at http://as.wwu.edu/kugs/. Clubs can also arrange to have an announcement recorded and played over the air. For more info, contact the Operations Coordinator at 650-2986 or KUGS.OperationsDirector@wwu.edu.


Banner Production Room
The Banner Production Room, VU 417, is available for making banners. You may reserve time and check out a key to the banner production room from the 5th floor VU Information Coordinator Desk.


Organizational Development


E.D.G.E. Program (Encouraging the Development of Groups through Experience)
Could your group use a boost in energy, unity, team building, communication, trust, group effectiveness, or problem solving? If so, the E.D.G.E. Program may be for you! The AS E.D.G.E. program offers a sequence of activities specifically designed for each group to increase social and individual awareness and appreciation through safe physical and mental challenges, discussion and reflection. Leadership Library & Resource Files
The Leadership Library is in The Club Hub, and offers handouts, books, manuals and other materials on numerous leadership topics such as effective meeting skills, motivation, teambuilding, creativity, leadership styles, group dynamics, and much, much more!
